Free For All Friday No. 39: Your Planner: A Lot To Keep Up With?

I really enjoy my planner system, and it works well for me, but sometimes it feels like a lot to keep up with. I funnel the monthly big picture into the weekly schedule and down into the daily details. I write a lot each day, which makes an excellent record. This system keeps me organized and satisfies my journaling needs, but I do end up copying events several times from my monthly to weekly to daily pages. Sometimes I wish I could write each event once, on the day it happens, and that's all.

But my system is simplistic compared to some of the planners I've seen online, especially the printable ones with graphs, charts, tracking, worksheets, etc. These are excellent tools for people who really need them, but to me they look like a lot of work to keep up.

Is your planner system simple? Or like me do you sometimes feel it can be a lot to keep up with?

Free For All Friday No. 38: Ending the Planner Fail Cycle

A reader emailed me recently for advice on what planner to use and asked, when does the cycle of Planner Fail end? My answer: it only ends when you decide to end it.

There is no Perfect Planner. Every planner has its pros and cons. The ring binder that is so flexible to use is heavy and bulky. The bound planner is sleek but not the perfect format, or doesn't have enough notes pages. The planner with the nice big pages is too big to carry around. That cute little portable planner just doesn't work well enough for you.

You can print your own pages to put in your binder, but that binder is still going to be heavy. You can hand-draw your ideal planner format into a notebook, but you are still stuck with a limited number of pages in that book. In the end, you have to find the planner that you like enough and that works well enough.

And of course the bottom line is, a planner isn't going to do your tasks for you or achieve your goals for you. A planner you enjoy can make planning pleasurable, but in the end no planner is going to make you happy if you're not already.

I've gained this wisdom after spending years and years (and hundreds of dollars) trying to find my Perfect Planner. Take it from me, it doesn't exist. You have to decide for yourself to end the cycle, end the search, and just use your planner.

Free For All Friday No. 37: "Next year I'll use..."

Already online I've seen several people who have written something like, "This year I'm using Planner X, and it's okay, but next year I'll switch to Planner Y."

There was a time not long ago when I would have thought, "That's crazy! Why suffer through seven more months of planner dissatisfaction? Just switch now!"

But now, after having gone through years and years of switching planners several times each year, I'm fatigued of it. My years are scattered throughout dozen of books. Now I understand not wanting to switch planners mid-year. If it's working well enough to get you through the year, why spend the time and expense setting up a whole new system? January will be here soon enough.

Do you switch planners during the year if you are not absolutely satisfied with it? Or if it's working well enough, do you wait for the new year?

Free For All Friday No. 36: Time To Think, Space To Think

Today I did something I rarely take the time to do anymore: I sat with my planner for a good 45 minutes, and just thought. I thought about things coming up in the next weeks and months, I thought about my finances and when things are due, I thought about summer plans and insurance bills and car tax and meal planning. I filled in things in my planner as I thought of them, but mostly I thought.

I work best when I think about things ahead of time and then work my plan, rather than just dive in and do it. But I realized today I don't take the time to think like I really need to often enough.

I do my best planning-thinking at home where I have access to my computer and paper files and any other information I might need to reference while I'm planning. But I definitely understand people who do their best thinking at the coffee shop, bookstore or library where they don't have the distractions of home or office. (I do my best actual thinking while I'm walking in the forest, but that's not thinking about when to schedule my next car maintenance, it's more mind-wandering thinking.)

Free For All Friday No 34: Do stuff between stuff

We got a puppy last weekend, she is sweet and fun but a real handful! It’s almost like having a baby, but instead of midnight diaper changes it’s midnight walks in the yard. I’m told the chewing and piddling will end eventually!

With my sleep deprivation and extra work training a puppy (including the constant vigilance of making sure she doesn’t chew or mess up anything she’s not supposed to, which is everything) I’m finding it hard to do my normal weekly chores. This is of course made more difficult by the fact that for now the pup is confined to the kitchen and living room (where we have linoleum and wood floors, respectively, for easier clean-up). So I’m getting stuff done in those rooms but every other room is neglected.

It made me think of a thread on Facebook a few days ago where several of us were talking about dealing with increased workloads and Josh said the busier he is, the more he gets done because he goes into get-it-done mode. I have discovered a similar thing: I do stuff between stuff. For example I sweep the kitchen floor while waiting for my tea to brew. I fold clothes while the pup is napping. These are tasks that I normally would put off until later, but now I know I might not get another chance until tomorrow so I better get it done now.

Free For All Friday No. 33: Tidy or Messy?

My planner is a mess. But I don't mind. My handwriting is scrawly, I don't decorate, heck I don't even keep my writing between the lines. When plans change I scribble them out or, if I really need the space, white it out with correction fluid. I arrow tasks over to the next day, check off, circle, write over. I use different colors of pen for no apparent reason (it was the one within reach at the time). The pages end up looking like an organic reflection of my life in general: appearances aren't important to me, but functionality is.

I admire people's tidy planner pages with gorgeous handwriting and decorated borders, but I don't function that way myself.

Free For All Friday No 32: See where the day takes you

I came across an interesting phrase the other day. Someone said they like to "see where the day takes me."  It made me realize I almost never do that anymore. Like the good little planning person all the productivity articles tell me to be, I plan out each day in a fair amount of detail to make sure I will be Productive, because Productivity is the Goal. Or is it?

Don't get me wrong, I'm not about to throw my planner in the river and go skipping along on my way to chaos (which is where I would be without my planner).

But it did make me think, I don't do that nearly often enough. Sometimes I need to just go along in my day without worrying too much about what I Should Be Doing at every moment, and just see where the day takes me.

Free For All Friday No. 31: What type(s) of planner could you not ever use?

What planner type(s) do you know would not ever work for you? Or that you have tried (maybe more than once) and it fails disastrously every time?

For me, it's day per page planners. I've tried so many times to use them as my planner, because I love the level of detail I can capture on each day's page. But the lack of forward planning leaves me "lost in a sea of individual days" as I call it. When I use a day per page planner, I also have to use a weekly planner for forward planning.

I know people who need the flexibility of ring binders, and bound planners would just not work for them. I also know people who can only use bound planners, because they hate writing around rings and they tend to lose unbound pages. As another example, I have a friend who has five kids, and she has to use a monthly planner. Anything with a shorter range does not give her the ability to plan ahead like she needs.

Free For All Friday No. 30: Your planner, clean and pristine or well-used = well-loved?

Some people like to keep their planners looking like new as long as they can. And I definitely agree that some planners/ binders look best when they are unblemished.

But there's a lot to be said for a well-used planner that's a bit tattered and marked. It looks like it's had a good life!

What about you? Do you prefer your planner to stay relatively pristine? Or does a well-loved planner show signs of use?

Free For All Friday No. 29: Your Planner Page Preference: Structured, or Open-plan?

Some people like their planner pages to be very structured with designated spaces to write their appointments, tasks, tracking things like expenses or exercise, and sometimes even with boxes to check off to indicate when you have completed something. Some examples of very structured planner pages are Franklin Covey and the Women's Success Planner.

Other people prefer non-formatted pages, like most Moleskine planners have, without designated spaces to write specific things. Sometimes this is so people can format the page themselves and customize it to their own needs. Other folks just like a free-form, open page.

I like a medium amount of formatting in my planner. If it's too free-form, I don't have the structure I need to show me what needs to be done. If it's too formatted with too many spaces to fill and boxes to check, I feel like it's too much to keep up on and I rebel.

What about you? Do you function best with a structured planner so you can fill in each space as appropriate? Or do you prefer the freedom of mainly unformatted pages?

Free For All Friday No. 28: Extra pages in your planner?

I like lots of extra pages and content in my planner: conversions, international phone codes, maps (lots of maps!).  I especially like local- and country-specific content in my planners, like in my UK Quo Vadis diary, my Russian diary and my Diary 2000. But I realize not everyone likes these pages taking up planner space.

Free For All Friday No. 26: What do you take with you, and what stays at home?

I often see online that people have home binders, and they have everything in them from family schedules, household cleaning and maintenance routines, budget and financial information, recipes, crafting and more.

I recently started using my Filofax as my home-only tracker of financial stuff, birthday-party and holidays planning, and annually recurring plans. I used to think I should have this stuff in my main planner, but when I realized I really only use these things at home it freed me to not have to carry it around.

Do you have a separate planner or binder that stays at home? What's in it? And how is it different from the planner you carry with you everywhere?

Free For All Friday No. 25: Are you Team Bound or Team Rings? Why?

It's the age-old planner dilemma: bound book or ring binder?

I've been debating this for years. I wrote a post detailing some of the pros and cons of each years ago, yet still flit back and forth (in my mind, at least) of which is best. As much as I would love (and have loved in the past) the flexibility of a ring binder, I use bound-book planners for their archival permanence and large page size in the slimmest and most portable book because I have to carry my planner with me all the time and I need the writing space of big pages.  I do use a Filofax as my home binder, another for my permanent addresses and contacts, and others for various purposes, but these stay at home.

I know I get a lot of readers over from Philofaxy, so I know a lot of you are ring-binder planner users. I would love to know how you get past the small page size/ heavy ring binder issue.

Free For All Friday No. 24: How Much Does Your Planner Weigh?

I'm always trying to balance page size and functionality with the size and weight of my planners.

My system this year is my Plannerisms planner, which weighs about 325 g, and my large Moleskine notebook which weighs about 340 g. I normally don't mind carrying both together, unless I'm going to be doing a lot of walking and then it's a bit of a drag. But after years of trial and error, this seems to give me the largest page size (approx A5) in the most comprehensive system (monthly and weekly planning, goals and tracking, daily records, lists and notes) for the least weight.

Sometimes I think of trialing a personal size Filofax version of my Plannerisms layout, but my personal size Filofax with the pages in is more than 500 g. Considering I would still use my large Moleskine as my permanent archival record book, the nearly 850 g total weight would be more than I want to carry everywhere.

I also fantasize about having everything in one A5 size binder, but with all the pages in it weighs in at a hefty (and non-portable) 1040 g.

Free For All Friday No. 23: Does how much money you spent on your planner affect how you use it?

I bought my first real Filofax, a personal Buckingham, in 2001 at TJ Maxx for $25. I didn't realize at the time what a huge bargain I got. At full price it probably went for over $100. The smooth Italian leather was exquisite, and even now the rings are still solid and tight.

But because I'd only spent 25 bucks on it, I wasn't precious with it at all.  I threw it in my bag, I handled it with dirty/ sunscreen-covered hands, I took it all around the world with me and never worried about it. It wasn't until years later, when it had extreme sentimental value to me after years of loyal companionship, that I started to get precious with it. (And ironically, semi-retirement on the shelf next to a Filofax Domino with the strap rubbing the leather caused far more damage than my years of use ever did!)

But I digress. My point is, if I had spent more than $100 on my Filofax, I would have been far more delicate with it, and would not have used it the way I did while traveling, moving, and generally roughly.

Ideally we shouldn't be afraid to use our planners no matter the cost. One of my Great Planner Truths is: The More You Use It, The More Useful It Is. And if we are too afraid to use our planner, it won't be very useful to us. But it is human nature to be delicate with expensive things.

Do you find yourself being delicate with an expensive planner and perhaps using it less than you would use a less expensive one? Or are you determined to get your money's worth from your planner even if it means some dings and scratches?

Free For All Friday No. 22: One month in, how's your planner situation going?

Here we are one month into our working lives in 2014. Right about now is when people tend to realize either their planner situation is working well, or it needs some tweaking.

I am enjoying my Plannerisms planner for all planning, and my large Moleskine notebook for all recording. But that planner contentment doesn't keep me from thinking of ways to make it Even Better!

I realized recently that both my books are closed too often, and I need to find a place where I can leave them open so I can see them most of the time.

I've also been toying with getting a Daytimer Desk size Malibu ring binder and cutting and punching my Plannerisms planner pages to put in it, so I can have my planning, recording and permanent lists all in one binder.  I know people who have cut and punched Plannerisms planner pages with success, so this is a tempting option. I am concerned about the overall weight though, and am wondering if it would end up being bigger and heavier than I want to carry. I haven't decided if I will do this experiment, but I'll be sure to post about it if I do!

**Update: someone has kindly agreed to do a trade with me, so I will get a Desk size Malibu! When it gets here I plan to undertake the Plannerisms hack experiment. I'm very excited about this and will do a post to let you all know how it goes!

I love to try new and interesting planners, and I get a thrill when I get to check out one I've never seen before. But I also like the comfort of my trusted favorites I've used for years, and those tend to be the ones I go back to after my forays into new and uncharted planner territory.
